Now is the time to begin making your plans to attend Phi Theta Kappa’s Annual Convention in Orlando, Florida, April 8-10, 2010. Here’s a sampling of what’s in store for attendees of the 92nd Annual Convention.

1. Honors in Action Academy – learn how Honors in Action promotes opportunities for chapters and members to conduct research and employ leadership skills to make a difference through service
2. Multiple rounds of Educational Forums – on topics ranging from chapter programming to civic engagement and personal development
3. Walt Disney World® Theme Parks – the Convention schedule includes a break on the evening of Friday, April 9 to explore the Walt Disney World® Theme Parks at a special discounted rate while not missing a moment of Convention activity.

Chapter Sales Booths

The Phi Theta Kappa Marketplace offers a unique fundraising opportunity for chapters, regions and alumni groups. Groups who are pre-registered and pre-approved can sell Society-related items to their fellow Convention participants. Items often include visors, t-shirts, buttons and collectibles. Alumni and regional organizations are welcome to participate in Marketplace; however, all funds raised must directly benefit the chapters of two-year college students.

Only chapters, regions or alumni organizations receiving written approval from the Director of Recognition Services will be allowed to sell merchandise at Marketplace. Space is limited and no applications will be accepted on-site. View a list of vendors and the items they will offer for sale by clicking here.

Booth Provisions

Each sales booth will consist of one 6 ft. draped table and two chairs. Electricity will not be available for Chapter Sales Booths.

Application and Registration Fee

General Registration: postmarked by March 22, 2010, $75.00 registration fee

Late Registration: postmarked after March 22, 2010, based on availability, $100.00 registration fee

Guidelines for merchandise sold in the Marketplace:

• A photograph, logo layout, detailed description and price of the merchandise must be submitted for approval along with registration fee and a completed and signed Marketplace Registration Form. The chapter advisor must sign each Marketplace Registration Form.
• All merchandise containing the Greek letters of Phi Theta Kappa or Society name, must incorporate the ® registered trademark in the logo design. Phi Theta Kappa’s name, logo, symbols and titles are registered with the U.S. Patent Office.
• On all merchandise Phi Theta Kappa is to be referred to as, Phi Theta Kappa, or Phi Theta Kappa Honor Society .
• The Society’s Seal, Crest and Key may not be placed on products or wearables to be sold.
• Merchandise must promote a scholarly aspect, reflect the mission statement of the Society and may not include any innuendo relating to but not limited to sexuality, violence or racial inequality.
• Merchandise selected for sale in the Marketplace can in no way duplicate any items that a chapter member running for office may be using as his/her distributable item.
• No campaign materials can be displayed on any sales tables in the Marketplace.
• Sales of items are limited to booths located in the Marketplace.
• The sale of food items by chapters, regions and alumni groups in the Marketplace is prohibited.
• No order taking will be allowed in the Marketplace.
• All chapters must have a complete inventory at the Convention.
• Raffles are allowed, however, the product being raffled must be approved and be on site for presentation. Time will be set aside near the close of the Marketplace for announcements of winners.

Recognitions Sales Booth

Items from the Recognitions catalog, including Honors and Graduation Regalia, collectibles and wearable items including the official Convention t-shirt, will be offered for sale at the Recognitions Sales Booth.

Single/Double Occupancy:
$199.00 + 12.5% tax = $223.88 per night

Triple/Quad Occupancy:
$229.00 + 12.5% tax = $257.63 per night

Important Hotel Information Update – Warning Regarding Unauthorized Companies Promoting Discounted Hotel Rates in Orlando

If you are contacted by an outside vendor indicating that they are offering discount hotel rooms in Orlando for the Phi Theta Kappa Convention please know that this company is not authorized by Phi Theta Kappa and has not been given access to Phi Theta Kappa member information. We suggest you not give any credit card information to their representatives.

Also, as a reminder, booking reservations outside of the Phi Theta Kappa block through other sites such as Travelocity, Orbitz, etc., also impacts the Organization and the Convention bottom line. Phi Theta Kappa works hard to negotiate the best possible rates for our meeting at the best hotels to meet your needs.

Please note that there is only one reservation hotel/housing service authorized by Phi Theta Kappa. For hotel reservations for the 2010 Annual Convention in Orlando, please contact the WALT DISNEY WORLD SWAN AND DOLPHIN RESORT directly using the information supplied above.

Deposit
A deposit equal to one night’s stay is required to hold each individual’s reservation. Such deposit shall serve to confirm the reservation for the date(s) indicated and, upon check-in, shall be applied to the first night of the reserved stay. This deposit is refundable if notice is received at least five (5) days prior to arrival and a cancellation number is obtained. All deposits shall be charged at the time the reservation is made.

Rollaway Beds
One rollaway bed may be added to any room reserved at the WALT DISNEY WORLD SWAN AND DOLPHIN RESORT for an additional charge of $25 per night.

Special Needs Requests
Convention attendees requesting special dietary, physical, cultural and/or religious accommodations may submit requested using the Special Needs Request Form. All requests must be submitted by March 15, 2010, for consideration. A separate form must be submitted for each attendee with special needs. It is our goal to do everything we can to make our attendees feel welcome and comfortable. However, please note that Phi Theta Kappa cannot accommodate all dietary, physical, cultural and/or religious requests on an individual basis due to the large number of attendees.

Duplicate Registrations
Phi Theta Kappa cannot be responsible for duplicate registrations. If you submit a duplicate registration in error, you must request a refund.

Photographic Release
When submitting registrations online, the individual submitting registrations will be asked to indicate agreement with the Society’s Photographic Release for all persons registered. This allows Phi Theta Kappa’s audio visual and still photography professionals to film and photograph Convention activities for on-site airing and future promotions.

Payment
Phi Theta Kappa requires payment at the time of registration. Submit payment as part of the online registration process using an American Express, Visa, MasterCard or Discover credit card; college purchase order or check. Payments by college purchase order or check must be received by Phi Theta Kappa within 30 days of submitting the registration.

Confirmation
Convention registrants will receive confirmation of registration by email within one to two business days of submitting a registration online.

Cancellation and Refund Request Policy

• Deadline for requesting cancellations or refunds is March 31, 2010.
• Cancellations or refunds after March 31, 2010, will not be accepted.
• Fees will be refunded minus a $50.00 per person service charge.
• Refunds will be processed after May 1, 2010.
• Refunds cannot be issued on site at the Convention Registration Desk.

• Requests for cancellations or refunds must be made in writing using only the official Phi Theta Kappa Cancellation or Refund Request Form available here.

• Honors in Action Academy registrations are non-refundable.

At the 2009 Convention, the Hites Family Community College Scholarship Foundation offered a second challenge to the Phi Theta Kappa Foundation – if we can again raise $350,000, the Hites Foundation will provide an additional $650,000 towards the recently established $1 million Hites Transfer Scholarship Endowment for Phi Theta Kappa members.

The second challenge is again being offered in conjunction with the founding of the 1918 Anniversary Club, a way of recognizing those who contribute by celebrating our anniversary year. Convention contributions will be directed to the Hites Challenge and matched almost 2-1. For example, your gift of $19.18 will actually be almost $60!

Scholarship pins will be given to anyone contributing $5; anyone contributing $19.18 or more will receive the commemorative pin with an embossed red ribbon signifying their membership in the 1918 Club. Alumni and volunteers will be accepting contributions at the Alumni/Foundation Booth and throughout the MarketPlace.

Hites Scholars will be announced for the first time this summer. Up to five scholarships of $7,500 will be awarded to Phi Theta Kappa members who have demonstrated high academic achievement and a desire to transfer to a regionally accredited baccalaureate degree-granting senior institution.

The Chancellor of The Florida College System, in partnership with the Phi Theta Kappa Florida Region hosts an annual event to recognize members of the All-Florida Academic Team. This year the 2010 All-Florida Academic Team will be honored with the presentation of medallions during the awards ceremony at the WALT DISNEY WORLD SWAN AND DOLPHIN RESORT scheduled for April 8, 5:00 pm – 7:00 pm.
